Customer Service Associate

Job Purpose:  To provide exceptional service to customers, volunteers, and staff for Samoset Council, Boy Scouts of America.

Job Summary:  Provide a wide variety of administrative, clerical, and staff support to the following areas of operation: registration, fundraising, camping & activities, scout shop sales and customer inquiries.

Essential Functions:

  • Provide support by performing the following duties; typing, filing, data entry, reception, copying, mail distribution, customer service, and records management. 
  • Interact with customers to supply information.  Receive, evaluate, and answer customer inquiries via phone, mail and email.
  • Provide administrative support to the following areas.
    • Council programs including registering campers, facility reservations, and answering general questions.
    • Fundraising activities to include updating Blackbaud CRM system.
    • Board of Directors and associated committees (meeting minutes, notices, and setting appointments).
  • Works closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Process member applications and renewals.  Maintain the membership database, mailing lists, and records.  Answer inquiries, prepare correspondence, and register members/customers via telephone, internet or direct mail.
  • Assist customers in selecting and purchasing Scout Shop merchandise.  Complete sales transactions and assists customers with product information. 
  • Sort and distribute mail, prepares outgoing mail, weighing, calculate postage, and posting letters and parcels.
  • Coordinates text, layout, printing and distribution of projects such as newsletter, strategic plan, and event materials, etc. 
  • Provide backup support to other support and professional staff when needed.
  • Maintain confidentiality of information dealing with volunteers, staff and all aspects of council business.

Qualifications:

  1. Experience: High school degree or equivalent required; business or technical school preferred.  Three to five years of administrative office experience; excellent written and verbal communication skills, sensitively with people of diverse backgrounds; ability to handle multiple tasks.  Knowledge of Scouting is helpful but not required. Must have numeric aptitude and be detail-oriented, accurate, and willing to take initiative.  Must be able to maintain confidentiality and often work on complex projects with minimal supervision.
  2. Software: Intermediate to advanced skills required in Microsoft Word, Excel, and Outlook. Desirable skills include database, desktop publishing programs (Access, Publisher, InDesign) and Adobe Acrobat Professional.  Will be trained in ScoutNET and Blackbaud (custom software). Utilizes computer software to construct, manipulate data and draw conclusions. Advanced keyboarding and layout skills are needed, with a speed of at least 60-80 words per minute. 
  3. Communication and Interpersonal skills: Must enjoy working with people and be an active team player.  Effective interpersonal communications and customer service skills are needed to work with volunteers, co-workers, and vendors on coordination of projects.  Must be able to work independently as well as cooperatively and demonstrate a positive attitude.  Must strive for consistent, quality, on-time communication with others to include internal and external customers.  Listen to others’ needs and proactively respond appropriately.
  4. Work environment: Must enjoy and be able to work in a fast-paced environment and able to handle multiple assignments with a quick turnaround.  Works under limited supervision and time frame to perform routine and advanced administrative duties.  Exercises discretion and independent judgment.  Must be able to identify problems, make a decision, and solve problems.
  5. Work schedule: Must be able to maintain punctuality and regular attendance. This position requires working with other staff to provide backup coverage of customer service areas. Hours for this position are typically 9:00 to 5:00 (M-F) with a 30-minute lunch; hours to be approved by supervisor.  Periodic hours outside of this schedule to attend meetings either early morning or in the evening.  Occasional Saturdays may be required.
  6. Physical requirements: Must be able to operate general office equipment (telephone system, copiers, folding machine, etc). Occasional heavy lifting up to 20 pounds of boxes, equipment and mailings will be required. Must be able to perform repetitive and stretching motions.

Salary Range:  $13-16 per hour based on experience
